The Operation Manager will manage a range of HR support functions to ensure smooth operations. This includes assisting with recruitment, onboarding, benefits administration, and maintaining employee records. Additionally, the role involves office management, translation between Korean and English, and IT coordination.
The ideal candidate will be highly organized, bilingual in Korean and English, and capable of efficiently managing multiple responsibilities.
Responsibilities
- Office Management
- - Oversee the daily operations of the office, ensuring efficiency and effectiveness.
- - Develop and implement operational policies and procedures.
- - Ensure the office environment is conducive to productivity and innovation.
- Facility Management
- - Manage office facilities, including space planning, maintenance, and security.
- - Coordinate with building management and external vendors for office services and maintenance.
- - Ensure compliance with health and safety regulations.
- Administrative Support
- - Provide high-level administrative support to the executive team.
- - Manage schedules, appointments, and travel arrangements.
- - Oversee office communications, including correspondence and phone calls.
- Resource Management
- - Manage office supplies and inventory, ensuring timely procurement and replenishment.
- - Negotiate contracts with suppliers and service providers.
- - Optimize resource allocation to meet operational needs.
- Team Leadership
- - Lead and supervise administrative and support staff.
- - Provide training, mentorship, and performance evaluations.
- - Foster a positive and collaborative work environment.
- Budget and Financial Management
- - Assist in budget preparation and monitor office expenditures.
- - Handle invoicing, receipts, and petty cash management.
- - Coordinate with the finance department for financial reporting and compliance.
- Event Planning and Coordination
- - Plan and coordinate company events, meetings, and conferences.
- - Manage logistics for internal and external events.
- - Ensure events run smoothly and within budget.
- Technology and Tools Management
- - Oversee the implementation and maintenance of office technology and tools.
- - Ensure the office has the necessary technological infrastructure to support operations.
- - Coordinate with IT for technical support and system upgrades.
- Culture and Employee Experience
- - Promote a positive company culture and enhance employee experience.
- - Implement programs and initiatives to improve employee engagement and satisfaction.
- - Address and resolve employee concerns and issues.
Qualifications
- Bachelor’s degree in Business Administration, Human Resources, or a related field.
- Minimum of 5 years of experience in office administration or a related role.
- Bilingual proficiency in Korean and English.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Experience in HR functions and office management.
Preferred Qualifications
- Hands-on office administrative experience in IT/start-up environments.
